Background

Previously, Incode Group relied on another internal tool to provide an employee infospace - Embedify. This, however, wasn’t going to help the HR team with their administrative needs such as the vacation request board, tools to track employee presence, and a board where employee grades and status could be reviewed. And since Incode Group has a track record in optimizing business processes, it made sense to create this solution in-house.

Eventually, it was decided that all of this would migrate onto a single platform - InTeam. This project would offer HR tools and a database of employee info, making the vacation request process easier and streamlining the administrative duties of all HR staff.

Objectives

The core idea was to make InTeam sleek and simple, no unnecessary buttons, no extra flair. Just a streamlined interface that guides the users to their goals: employees to their own pages and the info on their colleagues; HR staff to admin controls. InTeam’s bright but not overly flashy colour palette gives it a casual look to make sure the platform doesn’t look all business. Most admin actions can be accomplished from a small side panel, making work with the system easy. Incode Group’s design team went for the “less is more” approach.

Give employees a system where they can get to know each other;
Provide a comprehensive infospace for each employee to learn how many vacation days they have left, what their grade is etc.

How it works

‍

At its core, InTeam is a simple system. It congregates several databases and tables into one platform, separating users into two categories: regular (employees) and administrators (HR). Then special controls are provided to the HR team so that they can handle requests for vacation, sum up the total number of hours worked in a month by each employee, raise the grade for those workers who’ve shown exemplary professionalism. The regular employees will be using it to find out a bit more about their colleagues, request days off and vacations, and track their performance and upcoming raises.

Instead of going to HR personally or calculating things on their own, employees can use the system’s automatic counters to see how many vacation days they have left, whether they’ve done overtime this month, and how soon their skill review is going to come.

The simplistic nature of the platform made it easier to keep the budget reasonable while still implementing features that alternative solutions lacked. The price is lowered by using cloud architecture, a modern and cost-effective choice.

The team will implement tools that help automatically generate data on employee hours worked, predict the month-end results etc.

Create admin panels that are feature-rich but have intuitive UX and high usability.

Solution

We made a small side panel, only visible from admin accounts. This has shortcuts to all top-used features and yet can be hidden to keep the screen clutter-free and easy to navigate.

Our team created a visually appealing and intuitive design with a lightweight system that scales well as the company grows. It offers plenty of info but keeps it concise, which is exactly what this type of product needed.
